8 Student Archiving
Why Archive Materials?
As students, a resource that allows us to permanently capture our experiences from our respective student organizations and our own point of view is the University Archives. The University Archives aims to preserve the culture of UF students, faculty, and staff. Through archival work, UF students from all backgrounds can highlight how their own values and ideas have shaped our university’s history.
By archiving, you provide your organization or club with the chance to store away materials (newspaper, pamphlets, calendars, etc.) in the UF historic record. These archives give future UF students and faculty the chance to glimpse the history that your organization has made that otherwise may not be recorded.
Materials of Interest to Submit
To document any type of work done by students, including student activities and activism, University Archives would be interested in any of the following materials:
- Charters, by-laws, and mission statements
- Founding documents
- Histories
- Agendas, meeting minutes, and minute books
- Newsletters and newspapers
- Scrapbooks
- Correspondence
- Event planning files
- Certificates of recognition
- Publications produced by the student organization
- Promotional materials
- Identified photographs of the group, members, meetings, or events
- Membership lists and membership registers
- Sound recordings or videos of group events
- Summary of financial data, such as final budgets
- Social media posts from the official account of the organization

The University Archives are located in a secure storage area that is not photographed. If you’d like to view any of the materials, you can do so by visiting the Smathers Library Grand Reading Room. To discuss transferring any material or for any other questions about student archiving, feel free to reach out to University Archives.
An archive is a (physical or virtual) place that gathers documents, newspapers, memorabilia, pictures, and more related to a specific topic. For example, UF has an archive that is dedicated to the history of the University of Florida.
